Export Working Capital: Map the Order-to-Cash Gap

Prepare cost, shipment and buyer-payment records before asking a lender to finance an overseas order.

An export order can be profitable on paper while creating a cash gap before collection. Map when you pay suppliers, produce and ship, and receive buyer funds. The amount and timing of that gap are more useful than the contract value alone.

Document the transaction cycle

Keep the purchase order, production budget, shipment assumptions and buyer payment terms. Record currency assumptions and who bears delays or disputes. SBA describes working-capital program support for domestic and export needs, including monitored reporting. That does not mean every overseas order qualifies or comes with trade-credit insurance.

Ask the lender what receivable, inventory and reporting evidence it requires. Separate a signed order from an invoice and an invoice from collected cash. If your business must buy inputs before eligibility is confirmed, identify how that initial period will be funded.

Test delayed collection

Model a later buyer payment and additional interest or fees under the actual proposal. Include other business obligations during the same period. If repayment depends on one buyer, discuss that concentration openly. Do not assume gross sales can all repay the facility; production, logistics, tax and other costs still need funding.

The relevant primary reference is SBA: current 7(a) program. Read its scope before applying it to a different lender or loan type.

A working checklist

Record or questionWhy it matters
Order and buyer termsEstablishes the expected collection event.
Production and shipping costsShows funds needed before payment.
Currency and delay assumptionsExposes uncertain cash requirements.
Lender reporting and repaymentConnects the transaction to the actual facility.

A hypothetical case to work through

In a hypothetical order, $45,000 of costs leave the business before shipment and a buyer pays $60,000 on day 90. The funding gap is not automatically $60,000: start with the timing of the $45,000 outflow and available cash. A 30-day payment delay requires another month of operating liquidity and possibly financing cost.

Practical questions

Does an export order guarantee financing? No. Lender and program requirements still apply.

Is buyer payment the same as profit available for debt? No. Reconcile all transaction and operating costs.
